The Night We Rekeyed an Entire Building — A Property Management Lesson in Fast Response

Property management is not always paperwork and leases. Sometimes it’s late-night decisions, unexpected situations, and making sure tenants feel safe — no matter the cost.


One incident reminded me exactly why attention to detail is important.


The Situation

At the time, the property owner and I had been visiting a building daily because the boiler had been shutting off unexpectedly. To make sure tenants continued to have heat, we took turns checking the basement mechanical room each day.


One day, during the owner’s scheduled visit, he discovered the basement door had been forced open — and someone was standing inside the basement. Thankfully, the situation remained calm, and the individual left the building without incident. At first, it appeared that nothing significant had been taken, aside from a missing router valued at about $80.


We were relieved that everyone was safe and made a mental note that security cameras should have been installed sooner.


The Discovery That Changed Everything

The following day, during another property check, the owner noticed something much more serious: the tenant key lockbox was empty. The lockbox itself had not been damaged, but the keys had been left unsecured after the last use and were now missing.

At that moment, the concern shifted instantly from the earlier break-in to tenant safety. If someone had access to those keys, the risk to residents was no longer theoretical — it was immediate.


The Immediate Response

I received the message around 6:00 p.m. and was already at the police station shortly after to document the situation and gather guidance on the next steps. While the earlier basement entry could not be formally pursued without additional evidence, the priority became clear: secure the property as quickly as possible.

That same evening, we contacted a locksmith and made the decision to rekey every unit in the building. It was a significant and unexpected expense, totaling roughly $2,800, but waiting was not an option when tenant safety was involved.


I remained on-site throughout the entire process, ensuring every unit was completed. By approximately 1:30 a.m., every lock had been changed and the building was fully secured.


The Lesson

That night reinforced several important lessons that continue to shape how we operate today:

  • Even small security oversights, such as an unlocked key lockbox, can create major risks

  • Fast response is critical when tenant safety may be affected

  • Preventative systems — cameras, secured key management, and strict procedures — are essential

  • The cost of acting quickly is always less than the cost of waiting

Property management is ultimately about protecting the people who live in the buildings we manage. Situations like this require calm decision-making, quick coordination, and a willingness to act immediately when safety is involved — even when it means long nights and unexpected expenses.
